1. Information we collect
We collect and process the following personal information necessary to provide the Service:
- Email address (required) — used to send weighing session summaries and important account notifications.
- Phone number (optional) — used only if you provide it and then solely for customer support purposes (e.g., troubleshooting, follow-up calls or SMS support if you opt in).
- Animal and weight records — imported from ICBF when you connect your ICBF account; these records are used to display and manage your herd data and submit weights to ICBF where you permit us to do so.
- Authentication token for ICBF — we store a secure token (not your ICBF username or password) that enables importing/exporting data to and from your ICBF account if you opt into that feature.
2. How we use your information
- Send session summaries and notifications to the email address you provide.
- Provide customer support via phone when you supply a phone number.
- Import animal records from ICBF and submit weight data to ICBF when you connect your account and grant permission.
- Maintain and improve the Service, including analytics and troubleshooting.
3. ICBF integration and tokens
If you choose to link WeighRite with your ICBF account:
- We do not collect or store your ICBF login credentials (username/password).
- We store an access token issued by ICBF's API. That token is used only to import animal records and to send weight submissions to ICBF on your behalf.
- You can revoke the token at any time by disconnecting ICBF from the app or via your ICBF account settings. Once revoked, WeighRite will no longer be able to access or submit data to ICBF.
4. Legal basis (for EU / GDPR users)
When applicable (e.g., for users in the EU), our legal bases for processing personal data are:
- Performance of a contract: processing is necessary to provide the Service you requested (e.g., sending summaries to your email).
- Consent: where we ask for explicit permission (for example, connecting your ICBF account), you can withdraw consent at any time.
- Legitimate interests: for analytics, fraud prevention and support — we balance these interests against your privacy rights.
5. Data retention
We retain personal data only for as long as necessary to provide the Service and comply with legal obligations. Typical retention periods:
- Email and contact details: retained while your account is active and for up to 24 months after account deletion for backup, fraud prevention and legal compliance.
- ICBF records and weights: retained while you keep the ICBF connection active; copies used for app functionality may be retained for up to 24 months after disconnect unless deletion is requested.
6. Sharing and third parties
We do not sell your personal data. We may share information with:
- ICBF — to import/export animal and weight records when you link accounts.
- Service providers — third-party vendors that help provide hosting, analytics, email delivery, and customer support. These providers are contractually bound to protect your data.
- Legal requests — if required by law or to protect rights and safety.
7. Security
We implement reasonable technical and organizational measures to protect personal data from unauthorized access, loss, or alteration. These include encrypting data in transit (TLS/HTTPS), storing ICBF tokens securely, and limiting access to production systems. However, no online service can be 100% secure; if a breach occurs we will notify affected users and authorities as required by law.
